1. Online Registration Day
  • This year we are not having an in-person registration. It will be an online registration self-serve. In order to not overwhelm our website, the registration will be split up into 3 days. We ask that you stick to your assigned day to ensure things run smoothly. The board will be releasing a Registration Package in the coming days to guide each member/athlete through the process. Registration dates are Friday, October 16th, 17th, and 18th.
2. Gyms & Practices
  • Due to a few delays with the Baseball Academy, we have secured a few alternative practice locations. Note practices officially commence on Friday, October 16th, 2020.

3. Communication & Who to Contact
  • The club's communication process is undergoing some improvements and we're happy to have the first order of business completed. All board members will operate under the new email Domain Northern Chill Volleyball. See below for the full contact list.

UPDATE: The OVA Launches New Online Registration SystemBy Ontario Volleyball, 10/02/20, 11:30AM EDT

​UPDATE (October 1, 2020) – We are pleased to announce that the new OVA Membership Registration System (MRS) is now live!  Please visit https://mrs.ontariovolleyball.org/Account/Login to register as an OVA member. Effectively immediately, the National Registration System (NRS) will no longer be used.
The OVA Membership Registration System (MRS) will replace the existing NRS and will be the primary source for OVA membership, tournament and event registration. The system will provide OVA members with an upgraded interface and improved functionality for an enhanced experience while introducing some new changes.  Such changes include:
  • New responsive design which will allow members to seamlessly use the system on multiple platforms (e.g. smartphone, tablet, laptop).
  • All Waivers of Liability, OVA Terms & Conditions, and Concussion Code of Conduct Acknowledgement Forms will now be completed online as part of the MRS member registration process.
  • Athletes can upload their Proof of Age documentation to their MRS account. This will be a one-time upload and the document will then live with the athlete’s account for future seasons.
  • Club Contacts will now submit their Club forms online through the Returning Club Form (found on the MRS’ Quick Links menu).
  • Clubs will no longer be permitted to create member profiles for athletes or Club staff. This is a directive to comply with Rowan’s Law legislation regarding concussion education and prevention. As such, all waivers of liability and concussion code of conduct acknowledgement forms must be completed by the participant and their parent/guardian (if under 18 years of age) in order to become a member of the Association.
Please Note: NRS account data will not be transferred over to the new system. Therefore, all membership types (athletes, coaches, referees, etc.) must create a new account in the MRS.
The MRS system uses a member’s email address as their user ID, so each member must have a unique email address to register. If parents have more than one child and would like to have all OVA/MRS emails and correspondence directed to them, their MRS account can be set up with each of their children’s email addresses as the usernames while the parent’s email can be entered as the contact email. Alternatively, Gmail accounts provide the ability to set up a number of unique Gmail email addresses that will all go to one home account by adding “+1” (or “+2” or “+3”, etc.) to the end of the email address. For example, OVAtest@gmail.com will receive all emails using  OVAtest+1@gmail.com  or  OVAtest+2@gmail.com, etc.  Parents can use these types of Gmail account variations as the user IDs for multiple children in MRS.
The online registration link will be located on the OVA’s Become a Member page along with a comprehensive series of How to Guides to help members navigate the new system.

OVA MRS SYSTEM LAUNCH ISSUES

Good afternoon,
The introduction of the OVA's new membership registration system (MRS) has unfortunately experienced a further delay. The new release date will be announced shortly as we are waiting for further information from our service provider. We do not anticipate the delay to be significant. 

In the meantime, the OVA will continue to hold over your membership from the 2019/2020 season to cover athletes and staff who are currently participating in Club programming. Once the new registration system is live, all individuals must complete their 2020/2021 online registration in MRS in order to continue to participate in Club activities. We will share the MRS link with all members once the system is live.

While you are not required to complete any online registrations at this time, your Club will ask you to sign the OVA COVID-19 Waiver (attached) in order to participate in Club activities.


Note: Please do not attempt to register in NRS as memberships will not be carried over into the new system.

Update: Board Nominations

Nominations have closed and the nominees for the open board positions are listed below.

The meeting will start at 7:30pm and conclude at 8:45pm via zoom. The nominees will be expected to attend the meeting  in person (location to be confirmed in the near future) and will have exactly 8 minutes to present their platform to the membership.  After all the presentations are done for the Director of Admin/Media Relations we will hold a vote and then move onto voting in the Treasurer.

We currently have 24 confirmed attendees for this meeeting.  Prior to the meeting all who confirm they will be in attendance will be sent an email link to the zoom meeting by Christina Chicoine or myself. Please remember if you have more than one child in the club you may exercise all of your votes. this will mean that you would need to log onto more than one device for voting purposes. An example would be myself who has 2 kids in the club. My wife and I each confirmed we will attend and we each get sent a zoom link. We each  log in separately on seperate devices in order to vote and ensure both votes are counted.

I strongly encourage you to attend this meeting and take part in the formation of the new Northern Chill Volleyball Club Board.

TRYOUTS! THIS WEEKEND @YMCA SUDBURY

Hello All,
I hope all is well. As of today we have secured the YMCA for the 2020/2021 try-outs. We will commence tryouts this upcoming weekend (Saturday September 19th & 20th). I apologize for the short notice. We understand that some kids may have to work this weekend and parents may have had plans that conflict with these tryouts. If your child is unable to attend the tryouts this weekend please let us know. All children will be given an equal opportunity during tryouts.

The Technical Team and Coaches are meeting tomorrow night to finalize the tryout schedule. A communication will be circulated on Thursday outlining the tryout time, Location, and Age Groups.

Hello All,

I attended our first board meeting on Wednesday September 9, 2020. During this meeting it was brought forward by my peers on the board that the communication I put out on September 4th was not completely aligned with the constitution.

The two bylaws that were referenced are:
5.1.6 The positions of President and Director of Administration/Media Relations
shall be elected at the Annual General Meeting on even numbered years; and
the positions of Treasurer and Director of Operations shall be elected at the
Annual General Meeting on odd numbered years. Roles commence at the
conclusion of the respective AGM.
Under section 5.8 Duties of Directors:
5.8.3 No Board member has authority to act unless directed to do so by the Board of Directors.

The Board felt that the only positions that should be up for nomination this year are the Director of Admin/Media Relations and the Treasurer. As a result of this a vote was required and the Board voted that the bylaws referenced were applicable. The rationale for this was that the amendment #9 that passed during the AGM stated we need to nominate and elect the board at the AGM, and this was not done.

We did discuss the fact that there are bylaws within the constitution that contradict each other. The Board has agreed we will review the constitution and bring forward amendments at our next AGM for voting in order to address this.

In summary the only roles up for nomination are the Director of Admin/Media Relations and the Treasurer. Director of Admin/Media Relations was due for renewal given it is an even year. The Treasurer is up for renewal due to the fact that Liandra has tendered her resignation which is effective once a new Treasurer is nominated and elected.

Please respond to myself only and advise as to whether or not you will attend the special board meeting. this meeting will not be an attend in person meeting. We are simply asking for 1 hour of your time in order to elect a treasurer and Director of Admin/Media Relations. All associated timelines for nominations, posting of nominations, and the special meeting are still applicable (see below).

Information regarding vacant Director positions from President Jason Evans

 Hello All,

As per the amended constitution the following positions must now be filled through a nomination and election process. The vacant positions that we are accepting nominations for are the Treasurer, Director of Operations, and the Director of Admin/Media Relations. This has been posted on our social media sites so that people can fill in nomination applications.

As per the constitution we are required to post these nominations for 7 consecutive days prior to a vote taking place. Given these positions were not voted in during the AGM we will be required to call a special meeting in order to elect the roles of Treasurer, Direction of Operations, and the Director of Admin/Media Relations.

We require a minimum of 53 people at this meeting in order to achieve Quorum. 

Please respond to myself only and advise as to whether or not you will attend the special board meeting. This meeting will not be an attend in person meeting. We are simply asking for 1 hour of your time in order to elect the Treasurer, Director of Operations, and the Director of Admin/Media Relations.

Once  you have confirmed your attendance we will send you an email so that you may sign into the Special Meeting.

Information regarding the 2020-2021 season from the Technical Director

Hello Chill Members,
With September at our doorstep and tryouts right around the corner, we are certain there are questions surrounding the 2020/2021 season. With this, we are releasing the following information to provide some clarity on what is to come and what is still in the works.
Tryouts:
There is intent to have 2 tryouts per team over 2 weekends with a rain-out date or flexibility to use a 3rd weekend as follows:
First tryout weekend: September 19th and 20th
Teams will be given a 2-hour time slot on 1 of the 2 days.
Second tryout weekend: September 26th and 27th
Teams will be given a 2-hour time slot on 1 of the 2 days.
 
Rainout/optional weekend: October 3rd and 4th
 
Flexibility will need to be exercised to respect Return to Play rules released by the OVA. There is a bit of a learning curve for all, but the club will provide all applicable resources.
 
In order to attend a tryout, athletes must complete registration on 2 sites PRIOR to tryouts. Keep in mind that the OVA registration system will not be available until September 14th.

It is our intent to provide an indoor facility for tryouts but despite best efforts, one has not been secured. Athletes and parents will have to plan for tryouts to potentially occur at an outdoor venue.
 
Athletes will be asked to try out for their respective age category as defined by the OVA's Youth Competition Manual. On a case by case basis and as an exception to the rule, an athlete may play for another team at an older division if it is determined by the technical team to be appropriate.
 
Season:
The OVA has provided a modified year where tournaments will begin in January. There is still uncertainty around this as facilities remain to be the ongoing concern. However, if possible, the intent of the club is to begin the season as soon as we are able to do so safely, and within the legislation set by the Province of Ontario, our municipal government, and the OVA. Practices this year remain challenged due to the lack of indoor facilities available and further context will be provided in time. Tune in to the AGM for further details on proposed structures for the upcoming season.
 
Resigning window:
There were some individuals looking for clarity on this and with the deadline being today, we want to confirm that the club or its teams are not offering resigning opportunities this year. The nature of resigning is to ensure that clubs and athletes can confirm their spots prior to the beginning of the season. In larger markets, this is a more material concern to ensure that athletes do not jump from one club to another and can begin team activities earlier. Our goal is to ensure that all athletes have a fair opportunity to secure a spot on the rosters available and therefore we have deferred any further conversation on this to future years. 
 
Additional teams:
The demand on the club for additional teams continues to grow year over year. As an organization that wants to see the sport continue to develop and with the desire to prepare more athletes for the Team Ontario pathway, a more formal plan is in motion and will be developed over the season to guide us for years to come. This will include the development of coaches to ensure we have the ability to staff teams as required. This year, we do have a shortage of head coaches and also lack the space for teams to practice. We are still looking for ways to address this but are not in a position to put teams together without the proper support for all involved.
